    Specify the product or service, quantity, finishing, required date and delivery destination. Give suppliers the information needed to respond to the work you actually intend to purchase.

    Review supplier responses

    Record and review quotations against the requirement. Consider the total purchased cost alongside suitability, timing and the terms offered—not merely the lowest headline price.

    Bring external costs into the customer estimate

    Include the selected supplier cost within the estimate and apply your selling price. Account for the outsourced element before committing commercially to the customer.

    Continue into purchasing

    Once the work is approved, move the supplier requirement into the purchase-order workflow and keep it associated with the customer job.
